Tips & Best Practices
- Keep announcements clear and concise — parents read them on mobile devices.
- Use scheduling for non-urgent messages to send during business hours.
- Pin important announcements so they appear at the top of the parent portal.
- Check delivery and read rates after sending so you know the message landed.
Frequently Asked Questions
An announcement is a one-to-many broadcast sent to a whole audience — all parents, a year group, or a single class. A direct message is a one-to-one conversation with an individual recipient. Use announcements for information everyone needs, and messages for anything specific to one family.
Yes. Instead of clicking "Send Now", pick a date and time. Scheduling is useful for non-urgent notices you write in the evening but want delivered during school hours, when parents are more likely to read them.
Open Sent Messages to see delivery status and read rates for each announcement. This shows how many recipients received the message and how many opened it, so you can follow up through another channel if engagement is low.
Announcements can reach families in the parent portal and through connected channels such as WhatsApp, SMS and email, depending on what your school has configured. See the WhatsApp setup guide for connecting that channel.
Yes. When selecting recipients, choose specific classes rather than a school-wide audience. You can also combine audiences — for example all Year 7 parents plus all teaching staff — in a single announcement.
It depends on the role permissions your school has set. Teachers can typically send class-level updates to the parents of their own classes, while school-wide announcements are usually restricted to administrators and school owners.
