Inside Skoolia Finance: A Better Weekly Review

A school finance meeting can spend most of its time establishing which figures everyone is discussing. One person has the latest fee list, another has an expense file, and payroll questions sit elsewhere. Before the team can decide what to do, it has to reconstruct the picture.

Skoolia’s finance demo shows fees, expenses and payroll within a shared workspace. The value of that view depends on a disciplined review: records need an owner, exceptions need context and follow-up needs a next step. Use the video below as a starting point for your own finance walkthrough.

Set the scope of the review

Agree the period and the records being reviewed. A weekly operational check is different from a term-end accounting close. Keep the purpose explicit so the team does not confuse a useful working view with a completed reconciliation.

Name the person responsible for each area. A fee query may need the admissions or billing owner; an expense question may need the colleague who submitted it. The workspace can bring the information together, but responsibility still needs to be clear.

Review payment status before sending follow-up

Check whether an outstanding amount is genuinely unpaid, awaiting reconciliation or under an agreed arrangement. A family should not receive a generic reminder because the school has not reviewed a recent payment or a recorded exception.

Use factual, respectful language in payment communication. Include the relevant reference and a clear route for questions. Keep individual family balances out of broad staff messages or general announcements.

Bring expenses and payroll questions into the same agenda

For expenses, identify records that need supporting information or a decision. For payroll, confirm which period the team is reviewing and which questions need the responsible colleague. Payroll information should remain available only to the appropriate staff.

  • Confirm the review period and data owner.
  • Check fee and payment-status exceptions.
  • Identify expenses that need clarification.
  • Route payroll questions to authorised staff.
  • Assign a person and next step to every unresolved item.

Leave the meeting with decisions

A useful review produces a short action list. Record who will investigate an unmatched payment, who will clarify an expense and when the team expects an answer. Keep that list tied to the relevant record so the next meeting does not start from memory.

When a report raises a question, trace it back to the underlying entries before drawing a conclusion. Operational reporting is most useful when the team can explain what is included and what still needs review.

Evaluate with representative examples

Use fictional records in a demonstration: a normal payment, an outstanding invoice and an item requiring clarification. Ask your team to walk through the next action for each. This reveals how the workspace fits your process without exposing real family or staff information.
