How to Manage Staff Attendance

Track staff working hours, manage leave requests, and generate attendance reports.

1

Go to Employee Attendance

Click "Employee Attendance" in the sidebar to see the daily staff attendance view.

2

Mark staff attendance

For each employee, mark their status: Present, Absent, On Leave, or Late. This works the same way as student attendance.

3

Manage leave requests

When an employee requests leave, review and approve or deny from the Leave Management section. Approved leave is automatically reflected in attendance records.

4

View attendance reports

Generate monthly or weekly staff attendance summaries. These reports feed into payroll calculations for accurate salary processing.

Tips & Best Practices

  • Mark staff attendance daily for accurate payroll records.
  • Set up leave policies (annual leave, sick leave, personal days) in Settings.
  • Use attendance reports to identify patterns and manage staffing levels.
  • Approve or deny leave requests before running payroll for the period.

Frequently Asked Questions

Yes. Staff attendance and approved leave feed directly into payroll. When you run a pay period, Skoolia uses the attendance data recorded for those dates, so unpaid absences and partial months are reflected without a separate manual adjustment.

Yes. Employees submit leave requests from their own account, and each request appears in Leave Management for an administrator to approve or deny. Approved leave is written into the attendance record automatically, so you do not mark those days separately.

You define your own leave policies in Settings — typically annual leave, sick leave and personal days, each with its own entitlement. Balances are tracked per employee, so both staff and administrators can see remaining days before a request is submitted.

Yes. Open the date in Employee Attendance and change the status. Corrections are captured in the audit trail, so there is a record of what changed and when — which matters when the period has already been used in a payroll run.

Yes. Employee Attendance and student attendance are separate modules with separate permissions, although they work the same way. Teachers marking class registers cannot see or affect staff attendance records.

Yes. Attendance reports can be generated weekly or monthly and exported for use outside Skoolia, which is useful when payroll is processed by an external bookkeeper or accounting firm rather than in-house.
