How to Manage Student Fees & Invoices

  • Confirm your school currency, student records and fee policy.
  • Use a role with fee-management access; sending school messages requires communication permission.

Configure fee categories

Open Fees and set up the categories used by your school, such as tuition or transport. Check currency and amounts before using them on invoices.

Create and review invoices

Select the student or applicable class group, fee items, due date and amount. Review the recipient and billing entity before issuing the invoice.

Check payment instructions

Use the school’s configured online payment account or offline payment details. A school fee payment is separate from the school’s Skoolia subscription.

Share invoices

Use the invoice-sharing options available to your role. Coordinate with authorised communication staff for email or other external messages you cannot send directly.

Record and reconcile payments

Review payment status and outstanding balances. Confirm online payment processing or record offline receipts through the authorised workflow. Keep references so duplicate or unmatched payments can be investigated.

Follow up on overdue balances

Review the outstanding invoices and confirm the balance before sending a reminder. WhatsApp automation requires separate configuration and testing; connecting a number alone does not enable it.

  • Check invoice details before sending them to a family.
  • Reconcile partial and offline payments before reminders.
  • Ask the school finance lead how refunds and corrections should be recorded.
