How to Add and Manage Students

Add students individually, import in bulk, and manage student profiles.

Before you start

For Administrators, Registrars, Operations managers, School owners

  • Use a full-platform school account with student-management permission.
  • Prepare the academic year, classes and a clean student list without duplicate records.

Open Students

Select Students and check the academic year and active filters. Search for an existing student before creating a new record.

Add one student

Choose Add Student and complete the required fields shown in the form. Check names, dates and contact details before saving. Add guardian information where available.

Import a student list

Open the import tool and download the current template. Upload a supported CSV or Excel file, review suggested column mappings and resolve validation errors before confirming. Automatic mapping still needs your review.

Check the imported records

Compare the import result with your source file. Open several student profiles to verify names, class assignments and guardian details. Fix failed rows before retrying; avoid importing the successful rows again.

Review class enrolment and year placement

Use student and class enrolment controls to place students in the right classes for the academic year. A student’s year placement and their class memberships are distinct, particularly for mixed or optional subjects.

Invite the right guardians

Check that each guardian is linked to the correct child and has the right email address before sending portal access. Verify invitation status instead of assuming that adding an email sent an invitation.

Good practice

  • Keep the original import file and the validation results.
  • Check a small batch before importing the rest of the school.
  • Use the student’s existing record when updating details to avoid duplicates.
